How to Migrate Your CRM Without Losing Data

The #1 reason people stay on bad CRMs is fear of migration. Here's how to do it painlessly.

Step 1: Audit Your Current Data

Export everything from your current CRM. Contacts, deals, notes, tags, custom fields. Know what you have before you move it.

Step 2: Clean Before You Move

Don't migrate garbage. Remove duplicates, outdated contacts, and incomplete records. A fresh start deserves clean data.

Step 3: Map Your Fields

Create a spreadsheet mapping old fields to new fields. 'Company Name' → 'Company'. 'Deal Stage' → 'Pipeline Stage'. Account for custom fields.

Step 4: Import in Batches

Don't import everything at once. Start with 100 contacts. Verify the mapping worked. Then import the rest.

Step 5: Rebuild Automations

Document your current automations before migrating. Recreate them in the new platform — often simpler with modern tools.

Step 6: Run Parallel for 2 Weeks

Keep both systems running for 2 weeks. Use the new one for all new leads. This catches anything you missed.

Step 7: Cut Over

Once verified, fully switch. Update all integrations, forms, and team logins. Archive (don't delete) the old CRM for 90 days.
